Cancellation & Refund Policy
We understand that plans can change. Our cancellation policy is designed to be fair to both the traveler and the organizers, while ensuring commitments with hotels, transportation, and service providers are honored.
Cancellation Terms
1. First Payment (Deposit – 20%)
Non-refundable under any circumstance. This secures your spot and covers early reservation costs.
2. Cancellations made on or before 30 October 2025
50% of the total amount paid (excluding the deposit) will be refunded.
3. Cancellations made between 1 November and 15 December 2025
25% of the total amount paid (excluding the deposit) will be refunded.
4. Cancellations made on or after 16 December 2025
No refund will be issued, as all bookings and services will have been finalized and fully paid by this stage.
Transfer of Booking
If a participant is unable to join the trip for any reason and has made a partial, or full payment that is no longer refundable under the Cancellation & Refund Policy, they may nominate a substitute to take their place—provided the request is submitted in writing no later than 20 December 2025.
It is the sole responsibility of the original participant to identify and propose a suitable replacement. TheFive is under no obligation to assist in sourcing a substitute, and acceptance of the new participant is subject to TheFive’s review and approval.
If the transfer is approved and the substitute completes full payment, a refund may be issued to the original participant—excluding the non-refundable deposit, transaction fees, and any non-recoverable costs already incurred, such as international flights, visa fees, travel insurance, or third-party services.
